Screens and navigation

How the FireAI ERP layout works — left modules, Sales and Purchases top tabs, list pages, create forms, filters, and draft versus confirm — so non-technical users always know where they are.

FireAI ERP is organised like a shop floor: big departments on the left, and inside Sales or Purchases, short tabs along the top for the daily registers.

Left rail (main modules)

The narrow strip on the left is always available (subject to your role).

Home Ask FireAI chat — ask questions about your ERP data; use Share on an open chat to copy a link
Dashboard / Reports Charts and custom report views (if enabled)
Inventory Stock balances, products path, transfers
Sales Opens the sales area (customers, invoices, receipts, …)
Purchases Opens the purchase area (vendors, bills, payments, …)
Trips Dispatch / fleet trips (if fleet is enabled)
Collections All data tables in one place (power users / admin)
Settings Company, tools, users, roles, collections, payment statuses

If a module is missing

Your role does not include that page. Ask admin → Settings → Roles → grant View for that page or collection.

Top tabs inside Sales

When you are in the Sales area, tabs along the top typically include:

  1. Customers — buyer master
  2. Prices — sales price lists and list items
  3. Orders — customer orders (only if ordering tool is on)
  4. Invoices — sales invoices
  5. Receipts — money received against sales

Click the tab name; do not hunt under Purchases for receipts.

  1. Vendors — supplier master
  2. Prices — purchase price lists
  3. POs — purchase orders
  4. Bills — purchase invoices / vendor bills
  5. Payments — money paid to vendors

Anatomy of a list page

Most registers (Customers, Invoices, Stocks, …) share the same pattern:

  1. Title of the collection at the top
  2. Search / filters — narrow by name, status, date, etc.
  3. Create / New button — starts a new record
  4. Table rows — click a row to open details or edit (as permitted)
  5. Bulk upload (where available) — import from Excel/CSV
  6. Pagination — next page of rows at the bottom

Filters hide rows

If you “lost” a document, clear status and date filters first. Draft and Confirmed are often separate filter values.

Anatomy of a create / edit form

  1. Header fields — party, warehouse, date, status
  2. Line items editor — add product lines with qty and rate
  3. Totals — taxable, tax, grand total (calculated)
  4. Save — keeps work (often as draft)
  5. Confirm (on documents that support it) — finalises / posts

Move with Tab between fields. Add lines with the add-row control in the line editor. Remove a wrong line before confirm.

Draft versus Confirm on screen

Action What you should expect
Save / Save draft Record appears in the list; usually still editable
Confirm Status changes; stock may move; casual edit may be blocked
Cancel / close without save Changes discarded

Organisation switcher

If you have multiple companies:

  1. Open the switcher in the header.
  2. Pick the company.
  3. Masters and invoices are per organisation — creating a customer in Company A does not create it in Company B.

Collections versus module tabs

  • Module tabs (Sales / Purchases) — best for daily work.
  • Collections — full list of every table, including supporting ones (lines, movements, notifications). Use when admin asked you to open a specific table by name.

Mobile and small screens

On a narrow screen the left rail may collapse and tabs scroll horizontally. Swipe the tab bar to find Receipts or Payments. Prefer a desktop browser for first-time invoice entry.
