Sales workflow
Step-by-step sales operations — customers, optional orders, sales invoices (draft to confirm), receipts, and credit notes — including stock and payment-status effects.

This guide assumes masters already exist (Masters setup). You will complete the loop: party → bill → money in.
Preconditions checklist
- Correct organisation selected
- Customer exists
- Products exist with sales price and GST
- Warehouse exists with stock for the items you will sell
- Your role can View + Edit sales invoices and receipts
A. Find or create the customer
- Open Sales → Customers.
- Search by name.
- If missing, create the customer (name, state, GSTIN, address).
- Note any linked price list.
B. Optional — customer order
Only if Customer ordering / Orders is enabled in Settings → Tools.
Create order
- Open Sales → Orders.
- Click Create.
- Select customer.
- Add lines: product, billable qty, free qty (if used), rate, discount.
- Save as draft.
- Review with sales lead.
- Confirm when the order is accepted.
After confirm
- Stock may be reserved for confirmed orders (soft hold).
- Staff later generate / link a sales invoice from the order per your process.
- Sample-style orders may confirm as stock-out without invoice — follow the status labels on screen.
No Orders tab?
Ordering tool is off, or your role lacks Orders page permission. You can still bill directly with a sales invoice.
C. Sales invoice (core path)
C1. Open the register
- Go to Sales → Invoices.
- Click Create / New.
C2. Header fields
Fill in order:

C3. Line items
For each line:
- Choose product.
- Enter quantity.
- Confirm rate (from price list or typed).
- Enter discount if any.
- Confirm tax rate / GST on the line.
- Add another line as needed.
C4. Review totals
Check:
- Line taxable amounts
- CGST / SGST or IGST as applicable
- Grand total
- Customer state vs company state (intra vs inter)
C5. Save draft
- Save as draft.
- Find it in the list with status Draft.
- Open again and re-check lines.
C6. Confirm
- Only when the bill is final, click Confirm.
- Expect: status changes; stock reduces from the chosen warehouse; further casual edits may be blocked.
- If something is wrong after confirm, stop and use credit note / admin process — do not create a duplicate invoice “to fix it” without accounts guidance.
Confirm checklist
Before confirm: customer correct, warehouse correct, qty available in stock, GST rates correct, totals match the commercial agreement.
D. Receipt (money in)
Receipts are not under Purchases.
Steps
- Open Sales → Receipts.
- Create receipt.
- Select the same customer.
- Enter amount received and mode/date if asked.
- Allocate the amount against the open sales invoice(s).
- Save.
- Re-open the sales invoice — payment status should move (Pending → Partial / Paid per your Settings labels).
Partial collections
If the customer pays less than the invoice total, allocate what was received. Leave the balance outstanding. Create another receipt later for the rest.
Done when
- Receipt appears in Sales → Receipts
- Invoice status reflects the collection
E. Credit notes / sales returns
Use when goods come back or you must reduce a confirmed invoice.
- Open Credit notes (from Collections or the sales returns entry your org uses).
- Select customer and link context to the original invoice if the form requires it.
- Add return lines (product, qty, rate).
- Save draft → review → Confirm.
- Confirming typically returns stock and reduces customer balance.
Accounts discipline
One person should own credit notes in week one. Random credit notes destroy stock and outstanding reports.
F. Daily sales checklist
- New orders reviewed (if ordering on)
- Draft invoices cleared or confirmed
- Receipts entered same day as bank/UPI credit
- Unpaid invoices list scanned for follow-up
Troubleshooting sales
| Problem | Fix |

| Rate is wrong | Check price list on customer; override on line if allowed |
| Cannot confirm | Missing warehouse, empty lines, or validation error — read the toast |
| Stock went negative / blocked | Add stock or reduce qty before confirm |
| Receipt does not change status | Allocation not linked to invoice; reopen receipt |
| GST split looks wrong | Fix customer state and product GST; recreate draft if still draft |
